I am wondering if there is a simple way to move all messages that have been read from the Inbox to another Exchange folder let's say every 30 days. Outlook rules work on messages as they arrive and Auto Archive simply saves them in a PST file that is not acecssible through Outlook Web Access.

We have a user who does not want his Inbox cluttered so he deletes every message (read, unread, answered), thus automatically moving them to the Deleted Items folder. This folder was acting as their 'holding place' to review at leisure. Now that we have enforced routine emptying of this electronic trash basket, they are complaining that their email is being deleted without their permission.

Ideas?

Hi, rmk.

I don't know if there's a way to automate this process--either with Outlook or a third-party add-on. But if he's manually deleting them now, can't you just tell him to manually move them to another folder, instead?

Even though when you create a Rule in teh Rule's Wizzard it states "check message when they arrive", you can run rules on messages at other times. As such, you should be able to create a rule that will somehow move all desired messages to a particular holding folder...then setup the rule to NOT run automatically, but going in and run it manually once a month (there should be a "Run Now..." button in the bottom of the Rules Wizzard dialog box).

Some issues that I could potentially see...

- don't know if using an Exchange server will "mess" with my idea...I am just using POP and IMAP email, so I don't know if Exchange based email "changes" how the Rules Wizzard...I did log into my work account which uses Exchange and it did seem to still have a "Run Now..." type command.

- don't see an easy way to use a rule to "spot" all the read messages...the Rules Wizzard does not seem to allow you to select "all messages marked as read" as an option...you do messages that are of a particular importance, from a particualr person, flagged in a particualr way, etc.
