POWERPOINT 2007

I just bought PowerPoint 2007 yesterday along with MS Word, Excel and Outlook. I started making my first PowerPoint Show and was happy that I could figure out how to create it and then I tried sending it out to a couple different people. None of them can view it. Is this because I have PowerPoint 2007 and they don't? I used to have PowerPoint Viewer 2003 and that always opened when I received emails with a PPS. Any help in how people can view my shows would be appreciated. Thank you.

Hi Susan. Okay, I am glad that you were able to create a thread. Now, did you do what I mentioned? If a person does not have either Microsoft Office or Microsoft Power Point installed in his or her computer, he or she will not be able to view the file. If you sent an .exe file (the MS PPT Viewer) via email, more than likely it was blocked by the email server. Now a days, the majority of email server will not accept .exe files simply because they can cause a security risks with viruses and spyware.

Here is what you can try. You can send the executable file (.exe) and the presentation (.ppt or .pps) via online storage. I used to use this site called dropload.com but they are out of buisness, I think. I did a search and this site may be good for you:

http://www.yousendit.com/

I just tested it and I can send files up to 100MBs through this site and it's free.

No, KBs are smaill....1000KBs equals one MB. You should have no problem. Try that site and see if it works for you. Send an email to yourself or send me a private message and I will give you my email address so you can test it on me.

Powerpoint Slides
Your problem most likely has nothing to do with size. MS Office 2007 uses a different default file type than Office 97, 2000 or 2003 which all used the same. Look at the file extension and it is probably .pptx. The new Excel extension is .xlsx and Word is .docx.

Open the powerpoint file, click on the office button and then click on save as and select the type of file you want. You will note choices of "Powerpoint Presentation (*.pptx)" and "Powerpoint 97-2003 Presention (*.ppt)". Choose the latter so others may open the files.

The default file saving type can be changed by clicking on the office button (BTY - nowe we now have a windows button on the lower left and an office button on the upper left). This opens the dialog box for save, save as, and other options. At the bottom of the dialog box is a button on the lower part of the frame that says Powerpoint Options. Click on it and then click on save. This opens a new dialog box with various options and one is the default file save type. The bar should currently say "Powerpoint Presentation" , so click the little triange to the right to bring up other choices. Click on "Powerpoint 97-2003" and then close all the dialog boxes. From now until you change it, the default file type will be the older file type. Occasionally when saving a file, you will get a warning that something you chose is incompatible with the older file types. In my Excell spreadsheets it is usually text color.

I have Office 2007 (Home & Student) on one machine. This version contains Excell, Word and Powerpoint, but you get a license good for three machines. I am a heavy useer of Excell (Accountant) and a moderate user of Word. I can get by in Powerpoint and use it for training, usually presentations from somewhere else that I have modified. I saw no use in putting Office 2000 on my Vista machine and knew that I had to learn the new format. I do like the new office except for the steep learning curve. I sometimes stuggle to find what I'm looking for in the new ribbon menus rather than the old pull down menus. But we either change or get left behind, and even though I am looking retirement in the face in a year or two, I do not intend to get left behind.

Good Point Rgreen. I have 2007 as well and I alway, ALWAYS save my files as some version of 97-2003 compatible. I know that the majority of the computer world still uses either 2000 or 2003.

The reason we were talking about size is that she was trying to send .exe files via email. I mentioned to her that the majority of email servers block .exe files. I gave her the website to a free online email delivery service that will store any file up to 100MBs. She was unclear as to the difference between KBs and MBs.

Susan, do as Rgreen suggested. However, the problem will still arise if the person who is trying to view these applications doesn't already have either Microsoft Office or Microsoft PowerPoint on his or her computer. You will still need to use the website that I suggested to you to transfer the viewer to them.

***FINAL OUTCOME***

Susan sent me the .ppt file via www.yousendit.com. I was able to view it because I already had PowerPoint installed on my computer. I explained to her that regardless of the Operating System, whoever you send the .ppt file to has to have either Microsoft Office, Microsoft PowerPoint, or the PowerPoint viewer to view this file. If they don't, no matter what you do, they will never be able to view it.

She is going to try and find the .exe again and i advised her to hang on to it and send it to anyone who does not have PowerPoint.
