Outlook 2007 problems


Do any of you use Microsoft Outlook 2007 and if so, perhaps you can assist me to help my husband. Somehow, email names are being saved somewhere on his computer. Example: when he starts a new email message and types a couple letters of a name, there are 3 that show and he doesn't know where they came from and wants to delete them permanently. That way, he can type a couple letters to get the names that he has in his Address Book. The unwanted ones are not in his Address Book but he cannot get rid of them. HELP.

Hi Susan. I know exactly what you are talking about. This is a very simple solution, whenever you see an email name that you do not want to keep, just highlight the name and hit the Delete key.

Basically, each time you enter an email address, it is stored in Outlook. It doesn't matter if you use Outlook 200, 2003, or 2007.

Hi Susan. I am not sure what he may or may not have done but I can tell you that does definitely work. Here is what I just did:

  • Open Outlook

  • Open an New Message

  • Type one letter (A-Z)

  • Use the Up or Down arrows to select the email addresses that you do not want

  • Click the Delete Key to delete email address

  • Close the message but do not save the new email message

  • Open up another email message window and try to see if the changes held

I guarantee that these changes are permanent and I use this method each time I want to clean up my email addresses.

Works for me as well in Outlook 2002.


I will note that the names are added when you sent a message to someone...not just because you have it in your Contacts list. From the features list from Outlook 2002:


"AutoComplete Addressing: As an e-mail address, e-mail alias, or as an entered name, Outlook offers to complete the address, alias, or names, based on addresses, aliases, or names that e-mail messages that you have previously sent to. This is enabled by default, and you can disable it by clicking Options on the Tools menu, clicking E-mail Options on the Preferences tab, and then clicking Advanced E-mail Options."

Neither of those functions add names to the addressbook/contact list. To do that, you must manually add them yourself (I will note that if you want to add someone to your contact list and got an email messasge but don't want to type everything in yourself...at least the name and email address...just right click on the From field in the email message and select "Add to Contacts"). It is just adding the email/name to a "quick list". The assumption is that if you sent a message to that person before that you will want to do so again and thus adds those names to the "quick list".


The only thing that I can think of that might add names to your actual contact list is the Outlook Junk email function. Some junk/SPAM email functions work by adding "accepted" names to the list and then classifying all other email that comes from people NOT in your contact list as junk/SPAM.


If you turn off the "Suggest Names..." function, it will just not suggest any names as your type an address or name in the To (or Cc or Bcc) field. So, you will not get ANY names suggested to you. The "Automatic name checking" is to check a full name typed into the To (or Cc or Bcc) field against what is in your contact list. If you have some names "James Jones" in your contact list with an email address associated with that name, then if you type in that EXACT name, EXACTLY as formatted and spelled in the contact list, then Outlook will put a line underneath it signifying that it found an email address associated with that name. If you misspell it (or mis-format it, I believe), then it will not verify the name. And it does nothing with incomplete names. At least, that is how I believe it works.

I am afraid that I am not much help on the Junk Email function in Outlook. I just don't use them. I do know that some junk email functions work by way of a "white list" type approach. This approach would use your contacts list as the "white list" (i.e. list of people who you want to allow to send you email...all others would be considered "junk" email).


As to the auto complete, this document suggests that if you turn off the feature in the Options settings, save those settings, then close Outlook, then turn the auto complete setting back on when you open Outlook again, it will delete the entire list of names/email addresses used for auto complete. It also provides a link to Micro$oft's tech note on how to do it another way. I have not tried it (I like my auto complete...that is the ONE Micro$oft auto complete that I like...I turn them all off in Word), so I don't know if it works or not.
